Organize by obligation
Keep the certified job terms and filings, recruitment records, payroll and hours, receipts and reimbursements, and agency correspondence in clearly identified sections. Retain originals and record when a document was created or received. Do not reconstruct or backdate missing evidence.
Check that the records agree
Compare time records with pay records and the job terms. Review whether recruitment decisions and payments have supporting documentation. Flag gaps to the appropriate professional while facts can still be checked, and keep a record of any lawful correction.
Respond to the actual notice
